3 Month Contract: Health Clinic in Boksburg is looking for an administrator to handle all aspects of administration for this busy clinic. Role will include all bookings such as pre-placement / transfer, and exits; bookings for specific vendors such as catering facility and for specialized appointments off site â appointment and transport.
Further duties include:
Arranging that employees arrive for periodic medicals and appointments
Assisting with preparation of employees for lung function and Audiometry testing
Assisting with medical examination – height, weight, urine, vision testing – prior to medical examination when required
Clinic recalls – to assist with making appointments for employees
Medical waste – checking of collection and documentation in order
Arranging with pathology lab for collection and follow up of reports
Tracking medical surveillance as per calendar
Pulling and filing of employee medical files
Managing the laundry for the medical centre
Administration
Checking of orders placed / received and follow through for payment
Medical orders – making sure documentation is in order
MSDS – material safety data sheets – maintain file by receiving new data sheets and accessing info off internet at times
Training – assists with setting up and monitoring training provided by outside service providers
Requesting and sending of medical records to / from other sites
Preparing for events such as wellness, HIV etc
Documentation
Maintains patient files
Prepares new files for employees
Extracts files when employees attending medical centre for treatment
Files and keeps current employee files
Maintains medical files / records of ex-employee files by preparing to send to outside service provider for archiving
Maintains medical files / records of Temp and contractor files
Occupational Health surveillance
Receives and monitors contractor medicals. Checks if documentation complete, if not contactscontractor and informs. Gets the specialist to sign off medical.
Informs SHE, security, and internal contact when medicals have been signed off in order that induction can take place
Absenteeism
Recalls and follow up sick notes
Files
Monthly checks
First aid boxes in the factory
Eye wash stations – checks and prepares bottles
Sends information to SHE when emergency equipment has been replaced
Maintenance in the clinic
Ensure that all equipment in working order
Report any faults and following up of faults
Assist in the checking of emergency equipment (oxygen and fire)
Chronic medication
Arranges registration of new chronic conditions with Discovery
Assist with renewal script, ordering and arranging delivery of medication to site
Discusses queries with Discovery Medical aid
Receives medicine delivery from couriers [Discovery medical aid]
Contacts and informs employees of medication received via chronic dispensary
Assists with dispensing medication and any queries from Discovery
Faxes path lab reports to Discovery
Health Education
Assist and maintain health education material – notice boards
Medical centre services by outside vendor
Clinic bookings for their BI-Weekly visits.
On-Site Dietician weekly bookings and follow up bookings on a daily and weekly basis. InformingUnit manager of staff appointment
Setting up of training room for external providers
Employee Wellness
Assists and maintains documentation. Reminds and calls employees with appointments
Setting up of venue, receiving support group speakers.
Formal Qualifications Required
Grade 12 / Administration Diploma
