PRIMARY OBJECTIVE OF POSITION

To procure quality food, beverages, materials, equipment, supplies, and services for the hotel while minimising costs. All work is carried-out in line with the hotel’s guidelines and business plan, the departmental business plan, and Radisson Blu corporate guidelines.

TASKS, DUTIES AND RESPONSIBILITIES

PROCURE QUALITY PRODUCTS AND SERVICES WHILE MINIMIZING COSTS

Insures the lowest cost consistent with required quality standards on a timely basis by procuring foods, beverages, materials, services, equipment, and supplies
Initiates purchase requisitions as required
Identifies local vendors and negotiates rates
Maintains working relationships with local vendors
Assures timely deliveries at the lowest cost by handling and processing orders
Assures requisitions are properly approved
Maintains follow-up system on all purchases
Verifies price on corporate contract items
Follows corporate guidelines on purchasing from corporate suppliers
Directs, handles and supervises receiving, storage, and distribution of all goods to effectively and efficiently meet hotel and corporate requirements
Ensures that purchased items adhere to corporate standards; takes corrective action as required
Ensures that all merchandise on invoices is counted or weighed
Verifies information on dates and prices of goods
Maintains all necessary control records and reports
Assures stocks are up to par
Rotates stocks appropriately
Takes inventories
Processes and files executed requisitions properly
Maintains the competitive status and profitability of the purchasing operation by monitoring industry trends and recommending appropriate action to be taken
Provides assistance in the calculation of cost of foods and other goods and services based on purchase price
Secures competitive bids as required and requested
Assists in the preparation of the annual budget, departmental business plan, and ensures performance is in line with approved budgets, and makes appropriate recommendations as necessary
Prepares reports, as requested, to maintain and develop an informative data base for improved management decision making, and critical evaluation of work activities
Brings needs for repair or maintenance to the attention of the Controller

SECURITY, HEALTH AND SAFETY

Liaises with Security in investigation of thefts, and irregularities
Is familiar with the policy of issuing keys out of office hours
Inspects all store rooms, fridges and freezers on a regular basis to report irregularities to appropriate Department Heads, Maintenance and Security
Ensures that all potential and real hazards are reported and removed immediately
Fully understands the hotel’s fire, emergency, and bomb procedures
Ensures that emergency procedures are enforced to provide for the security and safety of guests and employees
Ensures that staff lifts and carries heavy items correctly
Ensures that all employees within own department work in a safe manner that does not harm or injure self or others
Supports a safe hotel by applying hotel regulations, and adhering to existing laws and regulations
Anticipates possible and probable hazards and conditions and takes action to prevent them from happening
Ensures that the highest standards of personal hygiene, dress, uniform, appearance, body language and conduct is maintained by all employees in the department

MISCELLANEOUS

Assists the Controller in conducting the physical inventory control on a monthly basis
Develops the departmental business plan, and budget
Attends meetings and training required by the Financial Controller
Assists colleagues to perform similar or related jobs when necessary
Accepts flexible work schedule necessary for uninterrupted service to hotel guests and stakeholders
Maintains own working area, and materials clean, tidy and in good shape; reports defective materials and equipment to appropriate person within the hotel
Continuously seeks to endeavour and improve the department’s efficient operation, and knowledge of own job function
Is well updated on:
Hotel fire, bomb and emergency procedures
Hotel health and safety policies and procedures
Hotel facilities and nearby sights of interest and importance (i.e. hospitals,
stations, tourist sights)
Hotel standards of operation and departmental procedures
Current licensing relating to own department and to the hotel
Short and long term hotel as well as corporate marketing and promotional
programs
Corporate clients and clients generating high business volume
Union agreements
