One of our clients based in JHB is looking to appoint an office manager, reporting directly to the managing director.

Overall Purpose of the role:

The Office Manager will ensure that office operations are professionally and efficiently executed. This role involves the general oversight of project and strategic plans, supporting the Operations and Commercial Managers to ensure that these are concluded within the agreed time-frames and that staff are held accountable for their agreed deliverable’s.

The appointee will be a highly organised manager with at least 10 years’ experience in a service-industry operations environment. Working with a ISO-accredited quality system and fast-changing project environment, the role will ensure that data from field operations is collected and processed for reporting. Planning involves the preparation of travel plans for mobile teams. The Office Manager will communicate regularly with customers to appraise them of the planning for and the progress of their projects. On conclusion, the customer satisfaction will be assessed with the intention of achieving a 90%-or-better satisfaction rating.

The Office Manager will also be responsible for the facility/office, ensuring that it is optimally configured and resourced. There are several tenant sub-leases to be managed. Setting up and maintaining key supplier contracts will be key to efficient and cost-effective operations.

OPERATIONS & SUPPORT

With the Commercial and Operations Managers, schedule work and define equipment and people needs for each engagement.

Assign people and resources to the job and record these on the Planning System. Ensure that each team assigned recognizes the deadlines and requirements.

Book all travel requirements for the project and communicate these to operational staff.

Arrange any laboratory kits to be supplied and notify the partner laboratory of the intended date of submission of final samples.

Communicate dates and reception requirements to customers and follow-up to ensure that these are in place before work commences.

On conclusion of the project ensure that all site data is returned and stored in accordance with agreed time frames. Hold the project team accountable for this delivery.

Where necessary, ensure that all laboratory samples are correctly labelled and documented and transmitted to the laboratories

Communicate completion to the Engineer and agree time frames for the conclusion of the project.

Maintain awareness of progress and communicate with customers to inform them of progress through to delivery of the final report.

EQUIPMENT RESPONSIBILITIES:

Ensure that teams develop and use packing lists for each project and that the project manager confirms that vehicles are loaded with the correct equipment required for the project

On conclusion of each project, ensure that teams check and maintain equipment, reporting any defects for immediate repair or replacement.

Ensure that the mobile and permanent laboratories and equipment (portable or otherwise) are always maintained and cleaned after projects and that any defects are reported to the Instrument Technician for repairs and removed from service. Agree a date for return to service.

Ensure that the Instrument Technician returns the equipment to service by the date agreed.

Ensure that vehicles are maintained, inspected and always kept clean before and after project completion.

SUPPLIER MANAGEMENT:

Manage the building and facilities for staff and tenants, including landlord communications, maintenance and cleaning services

Establish and maintain a focused and managed network of key suppliers, supporting efficient and quality-driven delivery

SAFETY RESPONSIBILITIES:

Work safely and reliably at all times.

Ensure that all PPE is maintained, inspected and presentable

Ensure that all potential dangers, hazards, or unsafe work practices in the office are reported to the Quality Manager.

Ensure that all office risk assessments are completed according to schedule.

Work within a health, drug and alcohol safety program consistent with customer expectations

AD HOC:

Work with the Operations Manager to deliver projects on time to the desired standards.

Work with the management team to promote and deliver excellent standards of service.

Participate in the establishment and delivery of business objectives.

Keep records of training to track personal development

Participate in the continuous improvement of the quality management system

Perform any other reasonable task assigned by management.

Much of the success of the position will depend on the appointee’s own initiative. You are encouraged to volunteer for assignments that will challenge you and to find opportunities for training.

QUALIFICATIONS:

Project or business management qualification advantageous

10 year’s experience in a services-business or project management environment

Code 8/10 driver’s license and five year’s driving experience

Knowledge & Competencies:

Ability to speak, read, and write English.

Good communication and interpersonal skills.
