Internal Sales & Dispatch Clerk – Krugersdorp

To Start Immediately!!!

Job Purpose:

To carry out the internal sales function so that orders are processed, deliveries scheduled and customers assisted resulting in an excellent and cost-effective service

Additional requirements:

Female any Race, preferred age group 22 – 38 years.
Due to the Industry the person MUST be fluent in both Afrikaans and English
Have own transport (very important)
Must be an extrovert, bubbly, go-getter
Must be presentable
Preferred candidates must reside around the areas not too far from Krugersdorp

Qualifications and experience

Matric with a pass in maths and/or Accounting. 1-3 years Prior experience related to the dispatch function, customer relations /sales is preferable. The successful candidate will need to be proficient in using Microsoft excel and outlook.

Key Performance Areas:

Receive and process orders:

Generate quotations and Pro-forma invoices according to customer information received
Purchase orders received are per Company standard terms and trading conditions
Orders are captured and recorded accurately according to company procedure on Bibi
Prices on both quotations and orders must be the same

Plan and schedule deliveries:

Delivery dates are confirmed prior to delivery on site
Daily scheduling planned so as to maximize volumes of deliveries in terms site location, product and truck availabilities
Clear communication with transporters and truck drivers to ensure correct documentation, loading and off-loading
Timeous communication with customers regarding planned delivery times and any delays
Constant awareness of changing conditions and circumstances to maintain service levels
Delivery schedules must be transparent and clear when used by others

Liaise with customers:

Regular contact and follow up with customers regarding their current needs and changing requirements
Customer queries appropriately resolved and/or passed on to relevant management
Communication with customers must create confidence in doing business with DSS and build long term relationships

Communicate with production and management:

Sales demand communicated to production and available stock levels obtained as a basis for delivery scheduling
Weekly sales forecasts given to production to ensure adequate stock levels are available
Following day delivery schedules submitted timeously to management, production and transporters

Major challenges:

Communication with transporters regarding truck availability to achieve daily revenue targets
Keeping demanding customers happy and maintaining a high service level
Staying focused in a job a with high interruption level and multiple task demand
To adjust delivery scheduling to meet immediate changing conditions.
As part of the Sales department also has to assist with the processing of orders, some scanning, and filing when required.

Functional / additional skills:

Proficient in using Microsoft excel and outlook
Proficient in using Bibi, Rita, and Pic (would be a plus)
Knowledge of the sales geographic area
Knowledge of truck size and capacity
Relevant product knowledge and conversion factors
Good understanding of the production flow and plant layout

Training will be given with regard to:

Knowledge of truck size and capacity

Specific company computer software systems

Relevant product knowledge and conversion factors

Good understanding of the production flow and plant layout

N.B: Candidates must have their OWN TRANSPORT (Due to working hours that varies between 06H00 and 18H00 Monday to Friday and will be required to work certain Saturday’s)

Salary: R10,000.00 /month

Experience:

Dispatch/ Sales/ Customer Relations: 2 years (Preferred)

Licence: drivers license & own car (Preferred)
