RESPONSIBILITIES:
The incumbent is responsible for the following portfolios which he/she should manage independently while performing quality work:
Managing the personnel budget for staff on contract and student appointments including preparing required documentation, and processing online appointments and claims;
Providing support to the HOD in elaborating the annual departmental duty allocation including determining the human resources needs per module, summarising teaching requests, preparing related documentation and allocating assistant lecturers;
Managing the process of performance evaluation for staff, creating online templates, preparing guideline documentation and organising work discussions with line manager;
Assisting with documentation for advertising of posts, and managing the processes for confirmation of appointment and application for promotion;
Providing technical and administrative support to staff e.g. HEMIS forms, leave applications, parking applications, access queries, reporting lines, letters;
Providing curriculum related administrative support for the Quality Teaching Committee (QTC), collecting and preparing statistics, preparing proposals for regulation amendments, updating the online yearbook and UP Course Catalogue, keeping record of module content, preparing brochures of study programmes, calculating tuition fees, creating and/or cancelling modules, and providing academic staff with teaching related info e.g. class lists, module files and study guide information;
Providing general administrative support e.g. preparing staff and module lists, preparing documentation for departmental meetings, maintaining a filing system for departmental documentation, providing information for departmental website and newsletter, and handling general student and parent enquiries;
Performing the technical editing of both the departmental Self-evaluation Report and the Improvement Plan;
Providing support in organising of events.
MINIMUM REQUIREMENTS:
An BSc Honours degree;
A minimum of one year of technical and administrative experience;
Thorough working knowledge of applicable computer programmes (MS Word, Excel, PowerPoint, e-mail, the Google suite and the Internet).
REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
Excellent communication and language skills in English, both written and verbal;
Demonstrated ability to conduct, co-ordinate and implement multiple academic processes without supervision;
Excellent interpersonal skills;
Friendliness and willingness to help;
Ability to solve problems, conflicts and crisis management, working in a multicultural and diverse environment;
Organisational skills;
Excellent computer literacy;
Ability to work independently and attend to detail.
ADDED ADVANTAGES AND PREFERENCES:
Other relevant postgraduate qualifications;
Experience in the use of a corporate management system e.g. like PeopleSoft;
Relevant experience in a tertiary education environment;
Organising and management experience.

The annual remuneration package will be commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 31.25% of the applicable monthly premium.
