Records Administrative Assistant
Purpose: To manage client records in line with approved File Plan, policies for records management and procedures. Assist in ensuring that records follow through the lifecycle of records and that they are captured, stored, maintained, retrieved, shared, protected and destroyed as per the organization’s retention schedule.
Classify, index and store all received physical and electronic client records according to the approved File Plan and Records Procedure Manual;
Scan received original records into electronic records management system using the correct metadata;
Maintain indexes for the File System;
Index files according to the retention and disposal schedules and prepare files for disposal;
Ensure the safekeeping and security of records;
Archive inactive records in accordance with a records retention schedule
Attend to queries and requests for the retrieval of records from both internal and external clients;
Maintain confidentiality around sensitive information
Participate in any of the records management related initiatives or projects undertaken by the department.
Administrative, organizing and planning skills;
Ability to work independently and within a team;
Ability to prioritize and work under pressure;
Attention to detail;
Strong interpersonal and communication skills;
Sound knowledge of MS Office i.e. Word, Excel and PowerPoint;
Ensure confidentiality given the nature of the work;
Good ethics, integrity and high level of professionalism.
Qualifications and Experience
1 to 2 years of relevant working experience within a records management environment.
