LINSPACE is a small, well-respected professional consulting practice specialising in acoustic and space-enabling consulting services. We are seeking an organised, self-motivated office administrative manager to join our organisation. In this position, you will manage a variety of administrative tasks, provide office support and coordinate office activities. A positive attitude and attention to detail are a must.

Particulars

Job Type: Full-Time Office Administrative Manager
Location: Craighall, Johannesburg, Gauteng
Responsibilities

Manage correspondence by answering, sorting and archiving emails and mail
Manage front desk by welcoming and directing visitors when required
Manage communications by answering phone calls and transferring through the switchboard as necessary
Receive and sign for deliveries
Collect and archive company and project related documents as required
Draft, format, and print relevant company documents
Maintain office inventory and order office supplies including sundry consumables as needed
Interacts with the company’s consulting engineers and assists where necessary
Coordinate and minute internal Project and Admin Meeting on a regular basis.
Maintain and manage current employee records (leave forms, identification and passport documents, etc.)
Manage maintenance of office equipment
Manage office cleanliness and supervise cleaning staff
Coordinate communal office lunches
Handle Petty Cash reserves, receipts and payments
Basic accounting including invoicing using Xero accounting package, preparation of invoicing statements and following up on outstanding payments
Assist with capturing accounting records, debtors and creditors schedules and payroll requirements
Maintain good communication and rapport with staff and clients
Requirements and Qualifications

Matric completion is the minimum requirement; relevant tertiary education, including diploma, preferred.
Minimum 3 years of previous experiences in relevant roles
Proficient computer skills including Microsoft Office Suite (Word, Outlook and Excel) and familiarity with accounting software packages
Time management skills and highly organised multitasker
Excellent written and verbal communication skills
Willingness to learn and grow in the company and within the company ethos
Candidate must be well-groomed / presentable
Self-reliant commuter to and from the place of employment, own transport preferred.
Salary: commensurate with experience
