Receptionist / General Worker needed immediately: Salary R7 500 per month

A stunning property situated on a 4-hectare estate in Somerset West, offering a small luxury Guesthouse as well as 3 Self Catering Villas, is searching for a young, dynamic Receptionist and General Worker to join their team. The Ideal Candidate should have experience in a similar environment, as well as with the booking and payment systems noted below.

Education, Skills, and Experience:

High school diploma or equivalent
guest/customer relations experience, preferably in a hospitality environment
strong working knowledge of relevant computer software including MS Office and booking and payment systems (Semper / Nightsbridge)
numeracy skills
administrative skills

RESPONSIBILITIES (But not limited to):

Ensure that all reservations on the system are continuously followed up on and bookings are confirmed or released daily. (This applies to all bookings, individual, company, travel agent or groups)
Monitor occupancy of the hotel. i.e. Occupancy graph report – Daily, weekly, monthly
Monitor rates being charged and are syncing correctly from our PMS to our channel manager.
Ensure all staff are on duty as per daily roster
Meet & Greet GUESTS in all areas whilst on your walk about. Observe exterior and interior of the property note any maintenance/landscaping problems and ensure such problems are resolved timeously
Spot check vacant ready rooms and ensure such are cleaned to the required standard prior to 2pm check in time
Ensure that all guest requests receive immediate attention and ensure that the guest receives what was requested
Resolves guest problems quickly, efficiently, and courteously.
Monitor all V.I.P ‘s special guests and requests.
Ensure that any maintenance issues are reported in the maintenance file by the room attendants and public cleaners
Report any incidents of theft to the General Manager immediately
Report any suspicious persons or activity to the General Manager immediately
Perform monthly stock takes as directed by the General Manager

Stock control and procurement:

Ensure that all procurement and stock receiving procedures within the Guesthouse are maintained

Guest preparation & Check out:

Oversee the guest arrivals and check-in procedure for the property as well as all other self-catering properties
Prepare operational day sheet
Prepare registration forms for arrivals, as well as invoice for departures
Ensure you receive all signed GUEST documentation, as well ensure online check in is used
Ensure that all guests are check in daily as well as late arrivals.
For GUESTS staying in self-catering properties off-site, ensure that you arrange access and send the GUESTS all relevant information pertaining to the property they will be staying
Ensure that the check out process is seamless

Guest in-house:

Ensure that all charges are posted to revenue system
Update day sheet with departure information
At day end, ensure that guest account balance with guest dockets

Guest Billing:

Reviews all in-house GUEST accounts and ensure all accounts are up to date
Signs off the front desk personnel’s daily banking reports
Enforces all cash-handling, check-cashing, and credit policies. Monitor high balance GUESTs and take appropriate action.
Maintain an organized and comprehensive filing system with documentation of purchases (invoices), vouchers, government orders, guest reg. cards, payments.
Ensure debtors is kept to a minimum
Ensure that any debtors are continuously followed up on and payment is secured
Ensure all cash-ups balance as per the procedure
