Responsibilities and work outputs

Handle and coordinate administrative activities

·

Co-ordinate all the components (project procurement, logistics, travel, accommodation, catering etc.) of project events and functions within budget and specifications

·

Develop and maintain accurate project related dashboards and reports, update and maintain project issue logs, risk logs and action logs

·

Support the stakeholder in the project scope to ensure that project deliverables and expectations are clearly articulated and aligned to business objectives through project documentation, identifying and assigning resources, project tracking

·

Provide administrative and coordination support on projects and provide admin support to the PMO, as well as to PMO governance forums

·

Create platforms where the project team can be mobilised and energised to ensure close collaboration and innovation, prepare Project Steerco and Portfolio of project board packs for the relevant governance forums

·

Ensure governance of these projects conform to agreed Company standards, procedures and life-cycle gates, highlighting areas of concern to the relevant Project Manager

·

Assist with compilation and distribution of relevant project communication

·

Monthly and / weekly progress reporting, including interpretation and updating of project plans

·

Develop and maintain accurate portfolio of projects (PMO) related dashboards and reports

·

Ensure availability of information for decision-making purposes with a quality document management process in place

·

Updates to the portfolio project register with accurate information

·

Well prepared meetings, presentations, functions, catering, venues and equipment

·

Change control, change requests submitted timeously, signed off, etc.

·

Completion of required lifecycle documents within guidelines, document configuration management, filing and archiving, ensuring audit trail for project health checks and benefits audits

·

Collate audit ready project folder with all fully signed project documentation for auditing and archiving

·

Diary management

·

Organise project infrastructure (PC’s, access, software) when required

Enable client centricity within area of responsibility

·

Build and maintain relationships with clients and internal and external stakeholders

·

Deliver on service level agreements applicable to clients and internal and external stakeholders in order to ensure that client expectations are managed

·

Make recommendations to improve client service and fair treatment of clients within area of responsibility

·

Participate and contribute to a culture which builds rewarding relationships, facilitates feedback and provides exceptional client service

·

Continuously monitor turnaround times and quality standards and resolve issues speedily to enhance client service delivery

Contribute to financial controls and planning

·

Ensure a project budget exists for each project and reporting on budgets is available for tracking and forecasting purposes

·

Manage financial and other company resources under your control with due respect

·

Provide input into the risk identification processes and communicate recommendations in the appropriate forum

Candidate Requirements
·

Matric and a relevant diploma / degree (or equivalent) in either business or information technology

·

Recognized post graduate education in project administration or project management. PMP / PRINCE2 / SAFE/ DAD certification is an advantage

·

Minimum 5 years project administration experience, of which at least 2 years has been spent administrating high impact, complex and strategic projects and programs

·

Good command of the English language, both written and spoken

·

Ability to support the operations team and be self-managed

·

Experience in preparing Steerco packs, minutes, action logs, risk logs, flowcharts, technical documentation and schedules

·

PC literate and application of all project management tools and techniques. Above average competence in MS Office (Word, Excel, PPT, Project & Visio and SharePoint or equivalent)

·

General business and financial skills and experience

·

Experience dealing with all levels within the organization, including C-level Executives

·

Ability to deal with ambiguity and bring structure into an environment

·

Ability to work under pressure, prioritise and create balance is essential

·

Solid organisation and time-management skills
