Our Client in the field of sports Orthopaedics provides specialist services for general orthopaedic conditions. They are looking for a Medical Practice Manager who will be responsible for all administrative functions of the Practice.

YOU MUST BE ABLE TO:

Prioritise work, be precise, efficient, work accurately and problem solve. Coordinate clinical

practice including administration and financial management. Make it happen.

WHAT WE WILL NEED YOU TO DO

Reception / Customer service

Be the first contact for patients, GPs and specialists.
Obtain customer information by answering telephone calls in a professional and helpful manner; interview customers; verify the information and/or direct calls/inquiries as necessary across multiple regions.
Inform customers of eligibility; explaining procedures; answer questions; provide information; confirming pricing.
Respond to all emails in a professional and timeous manner, resolving the query or following up to ensure resolution where emails have been referred to others.
Perform customer data entry into Goodx, program, or database to track leads.
Schedule and confirm initial visits with a customer by using IT scheduling system.
Identify and escalate issues for resolution.
Interact with patients and gain customer feedback about the practice by coordinating the patient satisfaction survey process.
Practice administration

Oversee daily practice operations, including scheduling of ongoing appointments, Clinician diaries and overseeing the practice.
Managing administrative and clinical staff in the practice.
Co-ordination and handling of basic reception duties.
Appointment bookings.
Facilitate patient flow.
Creating a holistically positive and pleasant patient experience.
Assist with account queries.
Managing theatre lists, call lists and co-ordination of assistants, radiographers, implant suppliers and anesthetists.
Recording of medical procedure coding for medical aid submission.
Typing of reports, letters of motivations and other medical documents.
Co-ordination of general running of the practice which includes ordering of stationery, medication and equipment orders, rent, equipment maintenance, practice insurance, IT queries.
Recording of Doctors CPT points.
Registration of doctors with HPCSA and other bodies.
Arranging professional insurance for doctors (AON).
Arranging and coordinating meetings for doctors.
Stocktaking, stock control and inventory control.
Recording of staff leave.
Developing processes to streamline the business and to make the business function as effectively as possible.
Address patient complaints and concerns in a compassionate and timely fashion.
Ensure that patients are informed about the billing process and non-clinical product rules and obtain signed consent, ensuring that all the different consent forms are signed upfront and that patient files contain all necessary information e.g. scanned ID document.
Control procurement for the Practice e.g. ensures an adequate supply of consumables, medications, medical equipment and all administrative elements such as pre-printed stationery etc.
Ensure that all maintenance required on all medical equipment is done when scheduled.
Ensure efficiency and prudent use of all goods and consumables, thereby keeping costs to run the practice as low as possible without compromising on quality.
Manage general housekeeping of the practice; implement occupational health and safety standards; arrange necessary maintenance and repairs in accordance with Procurement policy.
Coordinate Operations and Multidisciplinary meetings, including sourcing of clinical documentation.
Coordinate wound care, rehab scheduling and patient attendance
Support and collaborate with the Doctor on clinical aspects of the company’s operations.
Financial administration

Take responsibility for financial administrative services including billing of all accounts.
Monitor the budget for the Orthopaedic Practice and ensure that costs are managed.
Initiate and manage patient billing processes and procedures including invoicing, receipting, payment tracking and debtors’ records.
Maintain a tracking system of incoming and late payments; follow up on outstanding accounts; initiate and manage credit control/debt collection procedures.
Organize payments to contracted clinicians, hospital; third-party service providers and practice suppliers.
Handle account queries for all patients.
Monitor and resolve financial discrepancies.
Ensure adherence to personal information regulations and maintain patient confidentiality.
