Reporting to the Rector and Vice-Chancellor, the Development and Alumni Relations Division is responsible for strategic fundraising on behalf of the University and is actively engaged in increasing philanthropic support to achieve the vision and goals of the University. Further responsibilities of the Division include stewardship of all donors to the Stellenbosch University Trust, alumni relations programme management and events, as well as providing a professional support service to the University for fundraising and alumni relations.

Duties:

Primary Function of Position

Reporting directly to the Donor Relations Manager, the Peer-to-Peer (P2P) Coordinator will work within the Campaigns, Annual Fund and Local Partnerships fundraising team to assist with the planning and execution of P2P fundraising programmes, including all marathons, walks, races, sleep-outs, and other team fundraising initiatives.

The Coordinator will be the go-to person and problem-solver for all participant and donor inquiries, providing customer service efforts for all programmes, including technology support for fundraising platforms. He/She will also provide assistance in developing marketing materials, creating social media content, building and maintaining event websites, assisting with stewardship and cultivation of P2P fundraisers, and other P2P division administrative tasks.

Job duties and responsibilities include but are not limited to:

Efficiently responding to customer service inquiries, with an eye to promoting and encouraging fundraising-focused behaviours;
Facilitating the day-to-day operations of the development (fundraising) team and the SU alumni relations team initiatives;
Assisting with recruiting, coaching, and stewarding participants, updating websites and shareable content, and writing eCommunication;
Supporting the Donor Relations Manager to engage alumni and friends in the annual endowment fund and sending regular cultivation communication in annual funds and P2P development;
Performing administrative, event planning, marketing, social media, eCommunication, and other tasks within P2P as needed. This includes managing and coordinating relevant vendor relationships, including site event and promotional items, and coordinating event logistics, including securing permits for event sites (where relevant);
Serving as the on-site contact for all vendors, ensuring that everyone arrives on time and orders are fulfilled;
Creating marketing materials for events;
Contributing to systems and process improvement across the team to support P2P initiatives;
Collaborating with all development teams;
Consistently working to improve the manner in which projects are managed and coordinated within the division;
Working on and/or leading special projects as assigned by the division’s leadership and completing projects in a timely manner utilising pre-defined timelines agreed upon by the project team;
All other duties as assigned.

Superior verbal and written communication skills, including the ability to present in front of group

Candidate Requirements

Bachelor’s Degree;
While this is an entry-level position, some peer-to-peer or related fundraising professional experience is required;
Keen interest in non-profit P2P and digital fundraising in a non-profit environment;
Must be a self-starter and a team player with a collaborative spirit;
Great inter-personal skills;
Strong attention to detail and the ability to multi-task;
Being approachable, flexible and available;
Superior verbal and written communication skills, including the ability to present in front of groups;
Must be computer literate and proficient in Google G-Suite, Microsoft Office and Social Media/Sharing Channels (Facebook, LinkedIn, Twitter, Instagram, YouTube and Vimeo) and willing to work collaboratively using a project management tool and Client Relations Manager tools;
The position is based in Stellenbosch, but the candidate must be able to travel to other sites and event venues, including evenings and on weekends;
Valid driver’s licence;
Ability to lift 10-15kgs (event supplies, etc.).
