Description:
To Provide Executive Secretarial and Administrative Support to the Chief Executive Financial Services and Senior Management Team.
Roles and Responsibilities:
Information Reporting
1. Inform line management on a daily basis of the status of work in progress 2. Identify the purpose of relevant reports/required information and establish appropriate sources to be utilized for gathering information 3. Adhere to the administrative procedures and processes utilizing the available technology 4. Prepare and submit relevant reports/information timeously to all stakeholders 5. Ensure that accurate records are updated and maintained, investigate out of line situations and take appropriate action to rectify problem areas 6. Provide accurate feedback to relevant stakeholders on required information
Budget & Financial Management
1. Assist in the preparation and management of the department’s budget (stationery, travel, accommodation, etc.) 2. Implement administrative processes to ensure the safekeeping of all records and documents 3. Process and submit relevant financial transactions timeously (i.e. petty cash claims, business credit cards, etc.) 4. Reconcile invoices to ensure that amounts submitted are in line with the placed orders and take corrective action for /to escalate out of line situations 5. Implement feedback processes/systems to ensure that all relevant stakeholders are updated with accurate information pertaining to budgets, expenditures, orders, etc.
Service Delivery Improvement/Innovation
1. Effectively manage the diaries of Executives (and others, as appropriate) 2. Arrange meetings as required and ensure the minute taking and distribution thereof 3. Ensure that meeting rooms, resources, and catering requirements are booked timeously when required and that relevant information is conveyed to the relevant parties 4. Arrange flights and accommodation as required and convey details of such bookings to relevant parties 5. Implement work standards and processes to maintain a safe and effective working environment
People Management
1. Manage own personal development through performance management, IDP and talent management processes. Request training and feedback on performance and strive to improve based on these interventions. 2. Adhere to the Group’s values and leadership principles and understand and participate in the Employer of Choice strategies and initiatives. 3. Take personal responsibility for all issues facing the department, work as a team and mentor /coach new employees as required. 4. Communicate with your line manager regularly and make recommendations on improving efficiencies in the department.
