Senior Debtors Administrator / Credit Controller required for a Heavy Equipment Hiring firm based on the East Rand with Bookkeeping to Trial Balance Certificate, Credit Management Level 2 (minimum) and approximately 5 years’ experience in full function credit control with booking experience being highly advantageous (Advanced Excel)

Accuracy of invoices and credit notes with the required documentation
Recording and monitoring of daily crane movements and ensuring all work is invoiced accordingly
Processing of banking according to bank statements
General administration

Resolving of queries
Accuracy of cash flow projections

Minimum Qualifications:

Matric
Bookkeeping to Trial Balance Certificate
Credit Management Level 2 Certificate
5 year’s full function credit control experience with booking experience being an advantage
Advanced Excel skills

Duties / Responsibilities – Senior Debtors Administrator:

Record all incoming pro-formas and credit notes on an Excel report; and balance this back to invoicing on the NAV system.
Monitor document flow (pro-forma invoices) between Branches and Head Office
Check each branch’s “pro-forma posted screen” bi-weekly to ensure that branches do regular batching and follow up on un-posted pro-forma invoice
Ensure that all monthly chargeable pro-formas are received from the branches with full documentation by the second working day of the month
Check that all proformas received for invoicing are correct and complete with the required documentation
Have done at branch level/do necessary changes to Pro-forma invoices after they have been checked
Convert the Pro-formas to invoices on the NAV system when all is in order
Print invoices
Check that final tax invoices are correct
Process manual Pro-forma invoices on the NAV system as required
Follow up on temporarily exported cranes return documentation on the expiry date
Process credit notes
Process journals
Preparing invoice error report at month-end and following up on this until requirements are met
Do daily banking of cheques received
Capture deposits received from Debtors daily to Cashbook on NAV and Receipts Register (balance back to bank statement)
Print NAV deposit slips and file with remittances
Maintain the Daily Crane Movement schedule
Prepare and maintain a monthly list of outstanding Pro-forma invoices for cranes worked but have not been invoiced, and follow up with the branches regarding the invoicing thereof on a weekly basis
File invoices and credit notes
Print and file debtors statements
Mailing/E-mailing of original debtors invoices and statements
Preparing of the Branch Performance reports
Monthly balancing of debtors to GL
Take care not to share/disclose company information to unauthorized/outside persons.
Any other task or assignment which may be determined by the credit manager

Duties / Responsibilities – Credit Controller:

Control the section of the Debtors Book as determined by the Credit Manager
Scan and e-mail customer statements and invoices
Communicate with the customers in your section to ensure prompt payment of their accounts, in line with the credit terms of the Client.
Investigate and resolve queries received from Debtors
Reconcile debtors accounts in your section
Check remittance advises received from customers, and apply payments accordingly, and accurately.
Prepare and process journals
Prepare Credit Note requests
Follow up on and allocate all unallocated payments
Prepare various monthly reports for example Query report, 90 days plus report; Accounts on hold report; Unallocated report; Big value invoice report
Monitor and reconcile Cash Sale accounts
Adherence to the Collection policy under various categories
Updating of Cash flow forecast according to expected payments
Do credit checks and trade references on all new credit applications/account reviews/limit reviews
Create master files for new debtors as approved by the Credit Manager
Maintain and update the debtor’s Master file as authorised by the Credit Manager. For example update change of address
Checking proformas relating to your section of the debtors book
Filing
Take care not to share/disclose company information to unauthorized/outside persons.
Adhere to the Credit and Company policies and procedures
