We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Assistant include providing support to our Managing Director, Payroll Managers and GM HR and Office Services, assisting in daily office needs and managing general administrative activities.
Responsibilities:
Answering phones in a professional manner, and routing calls as necessary.
Daily Distribution of monitoring system reports for departmental managers for review and feedback on absenteeism.
Daily collecting of absenteeism information from departmental managers via e-mail and collating of information received.
Processing of supplier invoices; Controls and checks of Credits, Creditors Controller
Handle all courier interaction for the company
Organize and schedule appointments for interviews
Assist HR and payroll to ensure all filing is up to date
Preparation of Induction packs
Reporting
Performing ad-hoc administrative duties
Back-up to Office assistant
Any other tasks as required
Requirements:
2 – 3 year’s experience in a financial Environment or equivalent financial diploma
Proven experience as an administrative assistant or office admin assistant
Attention to detail
Knowledge of office management systems and procedures
Working knowledge of office equipment
Proficiency in MS Office (MS Excel and MS PowerPoint)
Excellent time management skills and the ability to prioritize work
