The Receptionist will report to the Branch Manager and is responsible for providing secretarial, clerical and administrative support in order to ensure that services within the company are provided in an effective and efficient manner. The receptionist will also be tasked with entry clerk duties and responsibilities. This role has a strong customer focus

Key Responsible Areas – Receptionist

Operate office equipment (copy, fax and scanning machines) with no supervision;
Manage the telephone system, internet connection, printers, copier and fax machine and report all faults accordingly;
Assist in the administrative requirements of the office including data input of routine reports, filing and computerised data entries;
Assist with Fedex and acquittals
Assist in office operations and administrative activities;
Ad Hoc administrative support may also be required;
Oversee all office visitors
Welcome visitors and guests and cater for their needs appropriately
Ensure reception area is kept clean and tidy and guests are welcomed accordingly
Route all calls to appropriate extensions timeously
Answer calls in a professional and appropriate manner
Act as brand ambassador for all internal and external guests
Key Responsibility Areas – Entries Clerk

Quality check and assure relevant documentation
Prepare the draft bill of entry
Ensure tariff code determination lines of entry are accurate
Monitor the response or status from SARS and submit to correct business unit
Process the voucher of correction if required
Facilitate release of custom stop/detain if required
Effectively communicate with internal and external stakeholders where necessary
Maintain a high level of quality and accuracy relating to the specific entry type in all work output
Processing entries prior to arrivals per RCG legislation
Reporting on conveyancing of goods
Regularly update clients on all shipments
Communicate whereabouts of shipments, collections and deliveries daily
Ensure no storage charges are incurred
All open jobs are to be closed weekly.

Experience and Knowledge:

Intermediate knowledge of Microsoft office
Good communication
12 month customer service experience or receptionist experience
Cargowise knowledge

*Must have matric and cargowise knowledge
