To perform various accounting and administrative functions on equity, gilts, derivatives, money market and offshore investments for Individual and small Institutional portfolios.

Accountabilities Include

:

Accounts Administration

Prepare invoices by inserting fee charged to various companies and forward to Accounts Payable at Group Finance for payment.
Update Advisors Report the commission paid to them and reconcile to Trial Balance.
Obtain month-end values from Offshore Asset Managers, and exchange rates from Portfolio Managers – insert into spreadsheet for the market value for Asset Under Management (AUM) report.
Allocate account number from UniCIS system for new Offshore clients and obtain an estimated rate from the Treasury Department. Process the transaction through Barclays Suisse once approved by Management.
Process payments to clients by capturing payments onto Cash Focus; obtain authorisation from authorised signatories and forward to Absa Stockbrokers for capturing onto the client’s account.
Print daily reports, check all trades against the dealing slips for correctness, and check overdrawn cash balance report.
Run daily valuations for pricing purposes; get authorisation from Portfolio Managers and send to Fund Managers for calculation of the unit trust price.
Pay Preference share dividends via cash focus. Obtain authorisation from authorised signatories. Forward instruction to Stockbrokers to capture on client account.
Process payment of income to client on Cash Focus and obtain authorisation from the Ops Manager.
Prepare an AUM report by inserting market value, fees, inflows and outflows for each intermediary company.
Print the monthly management fee statement, capture it to the AUM report and forward to JSE for processing.
Prepare an invoice for Absa Fund Manager (AFM) & Absa Trust for fees due to respective clients and forward the invoice to AFM for payment.
Prepare quarterly invoices for offshore clients and send off to respective clients.
Own administration and reporting for Meago funds by ensuring daily, monthly, quarterly and yearly reporting is done timeously.
Balance Capital Gains Tax (CGT) report and identify and resolve issues.
Run performance for Meago funds and compare to the property benchmark.
Identify and resolve errors.
Interact with Meago and their clients daily on administration duties.
Capture and verify all trades, income, dividends, corporate events and book builds for the Meago funds, and verify and sign off daily on Meago fund administration reports.
Administration on Regulatory Regulations

Compile quarterly SARB report with details from AUM monthly report for Ops Manager and General Manager’s sign off before forwarding to SARB electronically.
Compile quarterly Unit Trust report with information from PortCIS and Trust Systems, forward to Ops Manager for sign-off.
Compile report for Risk Officer detailing all values and fee scales per client. Forward to Investments Risk Officer.
Records Management

Ensure all records are kept according to Records Management Policy.
Ensure Data Privacy Policy rules and regulations are adhered to protect client data.
Prepare AFS scorecard by inserting inflows, outflows, number of clients and total move for the month.

Requirements:

Three (3) year Certificate in Investment Administration or equivalent to NQF level 5.
Three (3) years experience as an Administrator within the Financial Industry.
Investment industry knowledge.
Knowledge of Systems (MCI, JSE system, I Net).
Basic accounting skills.
Adhering to principles and values.

Delivering results and meeting customer expectations.
Following instructions and procedures.
