The Human Resources Clerk will be responsible for all general administrative duties and assist the HRM and HRA.

The incumbent is further required to meet tight deadlines, to be accurate, to follow policies and procedures and to interact with members of the staff, management, external companies/agencies associated with Netcare as well as members of the public.

Accurate and timely completion and submission of all monthly input to centralised payroll function
Monitor monthly input to ensure that all is in line with the HR quality review standards and Netcare policies and procedures
Follow up and receive staff documents e.g. probation forms, leave forms, etc
Receive applications for vacancies advertised
Attend to administration regarding injuries on duty
Schedule appointments
Type letters, minutes, etc.
Staff consultations relating to benefit changes
Update the notice boards regularly, ensuring that relevant memos as per the HR quality review standards are up in relevant areas
Adhere to all personnel administration policies, processes, systems and procedures; ensuring that personnel records are accurate and up to date
Collate and monitor training schedules, assist with training arrangements and complete training administration on time
Order name badges, process necessary certificates, arrange vouchers and assist with the arrangements for presentations.
Assist with the Carer of the month and carer function
Send out SMSes to staff for their birthdays and on special occasions or when the need arises
Assist with starter packs and Terminations
Assist with Orientation
Create and maintain an appropriate filing system to ensure an accurate record of all reports and other documents is maintained
Archive personnel files and Maintain list of files being sent to archives
File employee personnel records
All personnel files to be complete with valid contracts and other related documents in accordance with the Company CSA and Audit requirements.
Keep filing room neat and organised at all time, with files easily accessible
Distribute documents to various departmental employees
Attend to HR queries
Co-ordinate uniform fittings and name badge orders
Assist with HR Projects when required to do so
Assist the HR Manager and HR Assistant when required to do so
Take telephone messages
Performing any reasonable request, that is over and above the listed specifications
Take minutes at disciplinary and grievance hearings and meetings as requested
Process and distribute all requests or schedules for meetings and training
Assist in the typing of Human Resources related documents are requested
Type minutes of EE meetings and ensure distribution of minutes to wards and members of the committee within one week of the meeting
Attend promptly and politely to all human resources related queries from internal and external customers telephonically, in person and in writing as appropriate
Direct customers efficiently and politely to the correct source where it is not possible to deal with queries
Assist with Human Resources related projects on an ad hoc basis as required
Assist with HR Events/ Functions, Employee Wellness, Employee engagement surveys
Assume responsibility for own personal and professional development
Keep up to date with Netcare’s evolving policies and procedures

· Grade 12 or equivalent NQF Level 4 plus a 3 year HR qualification – Essential

WORK EXPERIENCE

· Minimum of 1 – 2 years of human resources administrative experience – Essential

· Private hospital HR experience is advantageous
