Leading Global Law Firm ‘s Global Shared Service Centre in Sandton CBD seeking an HR Assistant to support the HR Ops & Trainee Development/Graduate Recruitment departments in SA and UK Head Office. The Overall purpose of the role is to support the HR Operations and the Trainee Development/Graduate Recruitment departments. These teams, based in GBSC Johannesburg, are responsible for providing administrative support to the UK Operational HR team, the Graduate Recruitment team and the Trainee Development team based in London and Birmingham. The focus is in the delivery of Core HR processes (Hire to Leaver) for all employees in the UK including Fee Earners, Trainees, Business Services and PAs as well as events administration support to the Trainee Development and Graduate Recruitment team. As a People team we strive to produce standardized high-quality work, efficiently and responsively.

MINIMUM REQUIREMENTS

Matric or equivalent
HR Related Degree or equivalent tertiary qualification
HR admin experience
Working hours: Working pattern to support London core office hours. To take UK public holidays and work SA public holidays
Reporting to : HR Team Leader and HR & Graduate Recruitment Coordinator

KEY ACCOUNTABILITIES AND PERFORMANCE AREAS:

HR ADMINISTRATION

Maintain and update data across all HR databases to agreed timelines and accuracy.
Save documents on documentation management system and manage the e-filing systems in line with agreed protocols.
Respond to queries from Operational HR Managers and Advisors on certain processes.
Track and save appraisal forms for Trainees, Fee Earners and Business Services.
Take minutes during team meetings and setting up monthly payroll meetings.
Draft probation pass letters and issue to employees.
Draft Long Service Bonus letters and issue to employees and ensure that the bonuses are paid by payroll.
Respond to external and internal reference requests.
Assist the team with e-filing of compliance checklists.
Prepare audit packs.
Compile and distribute the HR Induction list on Fridays to all key stakeholders.
Prepare people news updates on a weekly basis for the UK weekly bulletin.
Allocate invoices on Chrome River and ensure suppliers get paid.
Assist with on-boarding, extensions and off-boarding of contingent workers.

Events Administration

Create and maintain event plans, templates, working programs and other program documents.
Schedule program and workshop dates and co-ordinate diary appointments for internal and external program meetings, including briefings and debriefs.
Organise room bookings and conference call facilities.
Organise events including induction, summer evening receptions, client secondment evenings, welcome and qualification receptions and other events.
Book training rooms, equipment and refreshments, booking contributors.
Ensure that all administration, including pre- and post-program work, is in place to support the program or workshop.
Liaise with internal and external contributors to prepare materials in good time for the event and to the firm’s standards.
Invite participants, send out joining instructions, monitor acceptances and alert the appropriate team member to potential challenges with participant attendance. .
Create photo sheets and event/program handbooks.
Maintain accurate records of attendance at all workshops and events.
Send out evaluation forms (Survey Monkey) after events and collate evaluation summaries.
Set up and monitor program feedback in relation to collated evaluation summaries.
Use the apply4law system to request references for the Graduate Recruitment Team

CYCLICAL PROJECT SUPPORT

Assist with ad hoc cyclical projects like salary reviews and seat moves for the Trainees.
