Job Description
Job Purpose and Overview:
To provide administrative support to BU’s executive team. To be successful in this position, the candidate must be results orientated, have significant executive administration experience and have the demonstrated ability to effectively prioritise workflow.
Key Result Areas:
Manage the executive’s diaries and co-ordinate their schedules, appointments, reservations and travel arrangements.
Help manage all travel arrangements for the company in accordance with the company’s travel policy.
Organise and schedule meetings for the executives.
Plan, organise and co-ordinate functions and special events for the executives and the Board of BU.
Act as Board secretary and prepare and administer all requirements for Board meetings, including:
Setting agenda for meetings in consultation with the executive team
Co-ordinating the preparation of packs and ensuring distribution of packs together with all supporting schedules, a week before meetings
Managing logistical and catering requirements for meetings
Taking minutes of meetings
Distributing minutes and matters arising from meetings and co-ordinate the completion of matters arising.
Proper filing of all required documentation from meetings
Prepare and/or edit internal and external letters, faxes, and memos pertaining to the executive and BU Board.
Serve as the executives business support in reviewing reports, proposals and quality management of all executive correspondence etc.
Manage all partner and supplier agreements in conjunction.
Prepare professional Microsoft PowerPoint presentations.
Effectively manage all statutory, banking and other relevant documentation pertaining to the executives
Qualifications:
Relevant Secretarial Qualification
Relevant combination of education and experience
Experience and Knowledge:
Previous experience in a senior administrative position
Previous experience in minute taking at a board level
Previous experience in preparation of meeting packs at a board level
Previous corporate experience is a definite asset
Strong PC skills i.e. Word, Excel, Power Point and MS Outlook
Extremely detail oriented.
Proven ability to effectively prioritize work flow, manage time, work under pressure and plan ahead.
Excellent interpersonal, written and oral communication skills
Ability to exercise good judgement, show initiative and be proactive
High standards of ethics and confidentiality to handle sensitive information
Conduct
To behave in a professional manner at all times, reflecting and maintaining the values and ethos of the organisation and generating a positive image of the organisation.
To adhere to all the organisation’s policies and procedures to ensure that these are maintained at all times
