Manage the Order intake process for Flavors and Fragrances (including Sub Saharan Africa), through to dispatching of goods to customer, including preparation of all export documentation.
Liaise with Customers on order status and deal with any queries/requests they may have. Good communication with other departments a necessity.
Deal with any reasonable queries/requests of other departments.
This position is the first point of contact with the customer and is the first impression the customer has of the company.
Process customer orders in SAP and coordinate deliveries of stock according to customer requirements
Required Skills
Ensure that all customer details i.e address etc are current on computer system
Add relevant info from FOS for new customers/products.
Receive order from customer fax/e mail, place on system, and confirm with customer.
Generate Pro-forma invoices where required.
Maintain system for order delivery dates and late order reasons
Inform customer of any delays in a timely manner.
Generate picking ticket, for pickers to execute order
Prepare any export documentation needed such as Letter of credit, requested export certificates from quality control manager, mange all other export documents
Ensure goods are delivered timorously and with COA and batch samples where required
Deal with any queries/requirements/complaints speedily and load into SAP – for investigation to commence
Keep Account Executives informed as required
Generate weekly/monthly reports from system for specific customers.
Build relationship with customer and understand their product requirements
Plan suitable vessel stack dates for export orders and manage this with Production planning, customer and freight forwarders
Request customer forecasts and communicate to Planner/Account Executive.
Perform any other reasonable and lawful duties as required by the company
Required Experience
Essential: Matric, Diploma or degree in Customer Services or similar would be added advantage
Computer literate and well spoken English
French – read, write and speak would be an added advantage
Well organized, preferably with experience in busy customer service dept.
Able to work under pressure and handle situations professionally.
Proven track record of success working within a successful Sales Team
Knowledge of Integrated Computer Systems such as SAP, IFFMAN GDRS – (MSDS’S), Microsoft Office, Achiever. Apply Now
