REPORTING

Duties

Reconcile all cashbook accounts. Assist in preparing cash flow statement with two months forecast. Assist with preparing Supplier age analysis indicating payments due. Assist with preparing a list of all outstanding purchase orders with feedback on expected delivery dates. Assist with preparing the reconciling all general ledger accounts. Assist with preparing month end reports as advised from time to time.

CASHBOOK

Duties

Print current bank account statement. Print money market account statement reconcile current bank account statement reconcile, money market account statement reconcile Bidvest investment/Foreign accounts processing payments/receipts on Pastel.

PETTY CASH

Duties

Processing all receipts and payments from petty cash account to Pastel reconciling petty cash account to cash on hand count and balance Petty Cash to General Ledger.

CUSTOMERS

Duties

Processing Invoices/Credit Notes – Adhoc. Filing invoices issued and recording missing invoices in file.

SUPPLIERS

Duties

Follow up on outstanding orders placed and expected delivery dates – local suppliers. Assist with preparing and reconciling supplier accounts local/overseas to statements and follow up outstanding invoices and queries. Updating supplier files with invoices and reconciliations keep supplier contract files updated – contracts etc. Assist with preparing supplier payments.

STOCK – Assist

Duties

Assist with processing of stock transfers between HO & sales reps etc. Assist with re-stock items when returned from loan/sales/customer once job cards are received from Technical.Support

VAT REPORT

Duties

Assist with preparing and reconciling VAT Report every second month to Pastel account. Following up on any queries or discrepancies. Assist with preparing and Printing VAT report and submitting for approval. Assist with preparing VAT201 for payment to be done.

VENDOR APPLICATION FORMS (adhoc)

Assist with preparing and completing various vendor application forms as received from customers (mostly government departments). Assist with preparing and compiling copies of various documentation as requested by customer e.g. bank account confirmation/VAT clearance certificates / company documents and other info,submitting for authorisation and amending where necessary. Emailing completed applications and supporting documents to customer

GENERAL OFFICE ADMIN (ongoing)

Weekly Cash check to General Ledger – Workshop cash controlling stationery stock and orders. Preparing files for archiving/destruction according to accepted prescribed time periods. Assist with preparing with purchasing and controlling office refreshments. Assist with preparing and submitting of application forms to suppliers. Following up of application forms and preparing cancellation letters where necessary. Other general duties as instructed by Administration Manager and Director. Assisting in answering the switchboard and relevant queries that may arise

REQUIREMENTS:

Previous bookkeeping experience – 5 – 9 years experience·
Pastel
Good communication skills – verbal & written
