Role Summary

Promote improved operational performance and patient care experience through quality delivery of
services and patient interaction, by subscribing to the highest level of integrity and professionalism. Engage relevant stakeholders to ensure that operational efficiencies are coordinated to improve patient outcomes. The incumbent will be responsible to coordinate all secretarial work in the ward, stock and responsible for all customers

Key Work Output and Accountabilities

Answer telephone correctly, friendly and in a professional way.
Liaise between patients, families, doctors etc.
Bed bookings, admissions, transfers, discharges of patients
Stock coordination – checking, ordering, counting
Work on time keeping system – approve hours on the system

Staff planning and ensure that there are enough staff for every shift
Complete staff and patients stats in work book and bullet in daily.
Help with scheduling and manage monthly roster.
All the secretarial duties
Attend to all patients, customers and visitors needs within the professional and legislative boundaries provided.
Responsible for the preparation of the reception area in the ward for each working day, and have all front desk activities fully operation at the start of business hours.
Assist patients to accurately complete appropriate forms and documents for the required information.
Handle and manage the continuous flow of information between doctor’s rooms, patient and other service providers
Maintain administrative records to the system and report statistics when required
General administration duties as will be required from time to time
Participate in communication forum committee

Candidate Requirements

Requirements

Grade 12
Secretarial qualification
SAP
Experience in a medical environment an advantage
Strong personality
Ability to Multi-task and handle incoming calls and or diverse patients with excellent telephone etiquette and in a supportive manor without compromising the quality of our service
Organizational skills with good alphabetical/numerical filing required
Punctual, reliable and dependable and ability to work well under pressure
Ability to adapt easily in terms of working hours with regards to shift work (day-shift, night-shift and weekend shifts)
A warm outgoing personality with the confidence to interact effectively but at the same time adhering to high standards, especially degree of accuracy and efficiency
Assist in other units when needed
Knowledge of billing procedures is an added advantage
Accurate data-entry skills (35WPM typing speed minimum requirement)
Excellent communication skills (articulate, well spoken)
