My client based in the Northern Suburbs, focusing on the Academic industry is seeking to employ a Sub-Editor to join their Publishing department. The ideal candidate will have excellent communication and grammar skills, attention to detail and be able to work under pressure. Experience within a similar position will be an added advantage. The following will apply;

Job summary:

The Sub-editor checks the written text before it is published. They are responsible for ensuring the correct grammar, spelling, house style and tone of the published work. They lay out the story on the page, write headings and captions, and involved with overall page design.

Journal production targets

Publish manuscripts in accordance with production output forecast according to contractual agreements with clients and indexers; and communicated by Desk Editor.

Report production problems/solutions to potential/actual problems to Desk Editor.

Hold weekly feedback meetings with Team Unit and Desk Editor to provide a progress report.

Publish Reviewer Acknowledgments before the end-December in the current year.

Manage and supervise the entire end-to-end process of the journal publication, copyeditors, layout-editors and proof-readers working in the production unit.

Maintaining and monitoring the progress of articles throughout the publication process daily for timely publication.

Interfacing with editors, copyeditors, layout-editors, proof-readers, and authors for ascertaining timely accomplishment of journal targets.

Format and review manuscripts for assuring their accuracy (with the guidelines) & readability for each production phase.

Liaising with other in-house teams, and production staff to negotiate and monitor timescales for stages in the pre-production stages.

Collect editor/co-editor/section editor change request to a journal-style guide or service and submit to Desk Editor by 31 August for investigation and submission to management.

Journal production standards

Prepare the manuscript for each production step

Ensure rolling publication at each journal throughout a calendar year.

Ensure minimum requirements of indexers are adhered to.

Ensure minimum requirements of the Department of Higher Education and Training are adhered to for published quantities and publication institutional ratios.

Use and maintain folder structures and file naming conventions of all files used in the publication process.

Liaising with authors, copyeditors, layout editors and proof-readers.

Checking facts and stories to ensure they are accurate, adhere to copyright laws, are not libellous or go against the publication’s policy.

Cropping (blinding) photos and deciding where to use them for best effect and writing picture captions or legends, if needed.

Proofreading complete pages produced by other vendors, collate change requests received and ensure they are implemented.

Laying out pages and playing a part in page design by advising vendor to make changes.

Manipulating onscreen text by updating metadata prior to the manuscript’s online publication.

Ensure the manuscript is factually correct, this includes ‘correct version published’, ‘correct citation format’, ‘correct referencing to tables, figures and boxes’, ‘correct authors and name spellings’, ‘correct affiliations.

Post-publication corrections

Compile correction request and submit for review by Desk Editor.

Check the correction status, implement approved correction request and report on its progress and implementation to Desk Editor.

Organization expectations

Inspect, review and monitor the platforms, if the journal platform has any technical difficulties it needs to be reported at the publishing manager.

Answer and resolve customer support queries professionally and timeously.

Maintain a safe and healthy work environment and adhering to organization standards.

Adhering to legal regulations, and perform corrective action as required by the Desk Editor.

Ensure a positive, professional and productive working environment by personally cultivating the company values in the department.

Finance:

Monitor manuscripts handed over from Review and render invoices within 2 working days.

Obtain clarification from the client on whether a manuscript will be sponsored; this can include liaising with the organization to determine whether the author is a member of the association.

Correctly create CRM invoices in accordance with the Author Account Forms, and any other instruction received from the client.

Invoices and payment/cheque requisitions processed by proof-readers/copyeditors are processed within a week after receiving it.

Vendor management

Coordinate resource scheduling of vendor, to prevent bottlenecks.

Issue CRM purchase orders to the vendor prior to the undertaking of the work.

Assess the work delivered/submitted by the vendor.

Guide and constructive feedback to the vendor for improving upon the work delivered, at desired specification and on-time.

Issue ‘delivery note’ for completed work that is satisfactory.

Prints

Compile print edition by end-November each year.

Reporting

Effectively answer customer queries.

Compile quarterly, semester or ad hoc reports and submit to Management and Clients.

Processes:

Providing input to process and procedure development and ensure that relate agreed-upon processes and procedures are consistently followed.

Identify and report opportunities that improve efficiency and waste and non-value-added activities to Desk Editor.

Requirements:

Relevant qualifications or, 3-5 yrs. relevant sub-editing experience.

An English, journalism or media studies degree may be advantageous.

Other design, proofreading or subbing qualifications can be advantageous. Proficiency in Microsoft Office (e.g. Word and Excel, i.e. track changes, version control, removing or inserting author information)

Adobe PDF or Foxit Phantom

Excellent written, verbal, phone and presentation skills

Acceptance to Publication < 90 days per journal.

Proof of constructive quality feedback to Vendors. (e.g. Vendor evaluations)
