Job Purpose:

The successful candidate will be responsible for doing customer quotes, invoicing, filing reports, typing and binding quotes, phone calls, replying to emails and handling customer inquiries. Occasionally assisting in making a sale, or following up with clients to make sure the quotes, product or service sold has been delivered as promised.

Duties:

Creating certificate of origin for units.
Sending contracts to Goscor for Goscor finance deals.
Assisting with ordering promotional items.
Updating sales pipeline calling salesmen for updates.
Updating lost sales report.
Updating competitive prices.
Purchasing warranties for machines sold.
Claiming rebates on machines sold.
Opening contracts files when stock arrives.
Processing new orders once received (Allocating machine, printing quote, ensuring requirements are in file before handover for invoicing).
Following up on orders placed (ETA’s).
Requesting and following up on prices and freight request.
Checking availability on transport for delivery of machines.
Compiling detailed spreadsheets on sales 2014/2013 and keeping it updated.
Loading delivery reports onto the Doosan system.
Requesting warranty requirements from workshop to submit to Doosan to reinstate standard warranties.
Making dinner reservations for guests.
Making hotel booking for guests.
Catering and setting up boardroom for meetings.
Doing quotes for salesmen, when they on the road.
Reporting stats for Doosan meeting sales vs projections.
Pulling reports of Bluwave every Monday for sales meeting.
Preparing spreadsheets for monthly management meetings.
Updating estimates to balance with actual cost in VSB.
Checking vendor forms if they correctly filled in.
Binding quotes / tenders / etc
Filing Sales Managers paperwork.
Compiling paperwork for payment (Golf days / Donations / etc).
Assisting with everything and anything at month end (updating invoicing, calling banks, calling customers, etc).
Compiling attachments list and suggestions for placing orders, finalise with manager then finalise with and get approval before completing order requisition for sign off.
Compile quotes for Rental.
Scan delivery reports to Autoline once received.
Keeping track of promotional items leaving for Demo days and shows, ensuring they return.
Compiling thank you letters for orders received or lost sales.
Filing ACR into contract files and filing contract files.
Brochure stock controller.

Qualifications and Level of Experience Required:

Matric with a relevant tertiary qualification.
3 years’ experience in sales administration in a similar industry with customer account management.
Proven track record in a sales and customer service environment.
Computer literacy essential and Auto Line/Advantage experience an advantage.
The ability and experience of dealing with Sales Reps without supervision.
Outgoing personality with a sales-orientated focus.
The ability to work alone and be self-motivated.
Friendly, with the ability to interact with colleagues and customers at all levels.
Honesty, loyalty and trustworthiness with an attitude of constant improvement.
