Summary of Role

To manage the front office of the CIMA in South Africa effectively, and efficiently.

Key Accountabilities
Managing CIMA reception area
Ensure visitors feel welcome and are attended to swiftly, politely and professionally
Answering switchboard, screen and direct calls
Ensure calls are answered promptly and directed to correct destinations
Take accurate and complete messages and ensure they are received and acknowledged by the relevant staff
Record all payments received from students and members in CARIS and in the bank draft log book, make copies of draft for reference and prepare the London bag
Supply general information to students and prospective walk-ins
Manage the requirements for stationery, printer cartridges, and other consumables in the office efficiently and effectively.
Manage the office refreshments: stock management, ordering, collect/deliver i.e. tea, coffee etc.
Report and follow up resolution of faults for equipment such as switchboard, franking machine and photocopier
Report and follow up resolution of general maintenance issues in access and reception area (eg lifts, toilets, plumbing etc)
Ensure franking machine is loaded with sufficient credit ahead of post campaigns
Prepare outbound post on a daily basis if necessary sort the post from the mail box (post Welcome Packs, Certificates and Letters, and Courier services)
Manage Certificates: receipt, CRM service request loading, communications with recipients, postage and collections, follow up on aged uncollected certificates quarterly;
Keep track of staff movements in and out of the office
Provide ad hoc clerical support and assist Customer Services with overflow emails especially during busy times.
Control inventory relevant to reception area e.g brochures
