ADMINISTRATION AND FACILITIES MANAGER (BRAAMFONTEIN)

Job Purpose: The main purpose of this position is to manage planned, routine and reactive maintenance and repairs of assigned properties nationally. Plans and manages outsourced contractors ensuring works are completed to stipulated time, cost and quality standards.

Job Objectives:

Ensure that all facilities, including Cleaning Services, Security Services, Building Management, Reception Services, Lease Agreements, office refurbishment, and maintenance is attended to.
Property Management of all Council leased offices and ensure they are managed effectively on behalf of the Council.
Oversee and manage all building and office equipment maintenance activities.
Ensure that logistical services are provided and managed in terms of staff transport and courier services.
Develop a budget for the Administration and Facilities functions and ensure that activities are managed within the approved budget
Manage and oversee the effective management of records and record-keeping within the requirements of the council and legislation
Ensure that a printing service is provided according to the needs of the Council on a day to day basis
Manage and oversee the effective operation of mailroom services and switchboard
Act as the official chairperson of the Health and Safety Committee of the Council and ensure that the Council comply with the OHSA requirements
Manage the performance and outputs of the Departments and direct reports effectively and in line with expectations of all stakeholders
Ensure that all functions have implemented and are managing activities according to properly defined SOP’s, policies and systems.
Ensure that all service providers and suppliers are procured effectively, that they have been contracted effectively and that they operate and deliver within the agreed service levels
Investigate, report and implement new branch and satellite offices on approval from relevant Committees
Submit monthly and quarterly reports as required.

Requirements Knowledge:

Occupational Health and Safety Act, the POPI Act, and the

Education & Qualification:

Grade 12
Relevant tertiary qualification in facilities or building science qualification at NQF level 6
4 – 7 years’ experience in facilities management or building maintenance with at least 3 of those years at Management level
Knowledge of relevant building codes and legislation including SANS, Municipal by-laws, Occupational Health, and Safety Act
Be professionally registered with SAFMA (preferable)
Remuneration Grade: D2
