A challenging opportunity is currently available for a top-performing Executive Personal Assistant to work hand in hand with the Chief Executive Officer and Directors of Akhile Management and Consulting (Pty) Ltd at its Pretoria offices.

A matured, well-seasoned, energetic and self-starter candidate is required for this position, as the successful applicant will have to be proactive, take initiative and make quick decisions.

PERSONAL ASSISTANT DUTIES

Screening telephone call enquires and requests and handling them when appropriate.
Meeting and greeting of visitors.
Organising and maintaining diary and making appointments.
Organising and attending meetings and ensuring the Chief Executive Officer and the Directors are well prepared for meetings.
Liaising with clients, suppliers and other staff.
Arranging travel and accommodation and occasionally travelling with the Chief Executive Officer and Directors to take notes and/ or to provide general assistance during presentations and meetings.
Treating of all documentation with discretion and confidentiality.
Printing and preparing information packs of all the Chief Executive Officer and Director’s documents on a timeous basis, and as required.
Ensuring when the Chief Executive Officer and the Director’s travels that all the relevant documents are packed and organised.
Ensure receipt of all the Chief Executive Officer and the Director’s credit card slips after the trip to be handed to the Office Administrator for reconciliation purposes.
Arranging food and beverages of Chief Executive Officer and Director’s meetings, preparing the office for these meetings and booking the boardroom, if and when necessary.
Running of errands on the Chief Executive Officer and Director’s behalf.
Managing of emails and diary as required.
ADMINISTRATION DUTIES

Dealing with incoming emails, faxes and post, often responding on behalf of the Chief Executive Officer and Directors, as and when required.
Often carry out background research and presenting findings, as and when requested.
Devising and maintaining office systems, including data management filing etc. to deal efficiently with paper flow.
Handling all the filing documentation as per the Chief Executive Officer and Directors coding system as well as computer-based information.
Preparing of attendance registers for all the Chief Executive Officer and Director’s meetings.
Dealing with correspondence and writing letters and taking minutes.
Compiling documents, briefing papers, reports and presentations.
Compiling all relevant documentation for Chief Executive Officer and Director’s attention to schedule meetings. Researching and preparation of reports, as required.
OTHER DUTIES

Need to know key personnel (both external and internal) and need to understand the organisation’s values, aims and objectives.
Organising events if and when required by Chief Executive Officer and Directors.
Ensure weekly and monthly progress reports are received from all managers.
Assisting with other ad-hoc and/or personal tasks from time-to-time.
MINIMUM REQUIREMENTS

5-10 Years Senior level PA experience.
Secretarial Diploma essential or equivalent.
Drivers license and own transport.
Ability to pay attention to detail.
Ability to maintain confidentiality at all times.
Ability to work under pressure and meet tight deadlines.
Sound Experience in Microsoft [Excel, Outlook, Word and Powerpoint]
