Legal Admin Support Officer: APPLY NOW

To assist the attorney/ manager with administrative functions and ad-hoc requests necessary and required to facilitate legal collections. To manage and maintain portfolio in respect of incoming queries from various stakeholders and to provide appropriate responses thereto, and furthermore to manage and effectively process invoices as per set requirements.

Legal Process
Manage the front end collections process through the drafting of various legal documents as determined by the attorney/ manager
Analyse data available from Cheetah and/or office files to ascertain appropriate next legal action
Implement the specific legal requirements set by various courts as communicated from time to time
Perform quality checks on all legal documents and or correspondence prior to handover to attorney or onward transmission to external stakeholders
Update the relevant fields on Cheetah i.e stages, notes, jurisdiction, attorney screen and workflow
Scan the relevant documentation onto Cheetah and place copies in file
Telephonic campaign driven collections via calls to debtors whilst drafting relevant legal documentation

File Management
Execute instructions from attorney/ manager in accordance with strategies and client’s instructions on book mandate level
Coordinate, compile and distribute legal documents to the appropriate correspondents, sheriffs, distribution department and Third
Parties
Manage and maintain office file and ensure copies of all documents are kept for record purposes
Ensuring file is well kept and in order at all times
Scanning of all communication relevant to a matter to Cheetah
Ensuring quality assurance is kept and upheld to the highest standard and the system is update properly and timeously

Relationship Management
Having a sound relationship with internal and external stakeholders
Having an attitude that is conducive to building relationships, promoting morale and upholding professionalism
Give input on legal operational issues to attorney/ manager.
Escalate complaints/queries from various stakeholders that cannot be dealt with on this level (internal & external).
Reporting
Provide production reports on matters worked, pending and unresolved on request of attorney/ manager or ad-hoc

Collections
Effective collection on active mandated accounts as per allocated portfolio;
Ensuring discussions held with debtors is professional and in a manner that will minimize matters resulting in legal action
Advising customers on consequences of non-payment and alternative payment plans
Ensuring client satisfaction by resolving queries quickly, efficiently and in accordance with the relevant procedure,
Ensure that monthly targets and deadlines are achieved.

Queries
Effective use of the daily reports to identify, manage and resolve queries on various portfolios within the department
To resolve the queries and frozen status on cheetah satisfactorily and timeously and to provide assistance to various stakeholders
where necessary
Attendance to various ad-hoc queries as received from internal & external stakeholders and to provide assistance where necessary

Invoicing
Manage and maintain allocated correspondent portfolio inclusive of invoice signoff, handover and reconciliation
To maintain and resolve queries as necessary and to provide effective communication to all necessary parties
To signoff and upload invoices in relation to vendors requiring upload on Fraxion
To ensure vendors allocated are settled timeously and effectively and that outstanding debits are kept to a minimum

Legal Admin

Matric
Paralegal Certificate (Advantageous)
Computer Literate
3 – 5 year collections experience

Technical:
Knowledge and understanding of the following legislation:
National Credit Act
Prescription Act
Magistrates Court Act

Knowledge and understanding of the MBD inc. systems:
Cheetah
Microsoft Word
